How to Access the Barracuda Cloud Email Archive Online

The Barracuda Cloud Archiving web portal allows you to search for older or archived emails without using the Barracuda Outlook add-in or desktop application.

You can access the archive from a supported web browser and sign in using your normal Microsoft 365 account.

Barracuda’s current web interface provides search, advanced-search, saved-search and message-export facilities. The exact message actions available may depend on your organisation’s Barracuda configuration and your assigned permissions.

Before You Begin

You will need:

Important: Always use the Sign in with Microsoft option shown in this guide. Do not create a separate Barracuda account unless your IT support provider has specifically instructed you to do so.

Step 1 — Open the Barracuda Web Portal

Open your web browser and visit:

Open the Barracuda Cloud Archiving Portal

You may wish to add this page to your browser favourites or bookmarks for future use.

Step 2 — Select “Sign in with Microsoft”

When the Barracuda login page appears, scroll to the bottom of the sign-in window.

Select:

Sign in with Microsoft

Do not enter your details into the standard Barracuda email-address box at the top unless instructed by your IT support

The red arrow in the screenshot highlights the correct sign-in option.

Step 3 — Enter Your Microsoft 365 Details

The Microsoft sign-in page should now open.

Enter your normal Microsoft 365 email address, for example:

your.name@yourcompany.co.uk

Then enter your current Microsoft 365 password.

Where multi-factor authentication is enabled, approve the login using your usual method, such as:

Security reminder: Never approve an authentication request that you did not initiate yourself.

After authentication is complete, you should be taken into the Barracuda Cloud Archiving Service.

Step 4 — Open the Search Area

Once signed in, select Search from the left-hand menu.

The archive search page displays the email messages that your account is permitted to access.

You will normally see information such as:

You can select the column headings to help organise or sort the results.

Step 5 — Perform a Basic Email Search

Use the search box across the top of the page to enter a keyword.

You could search for:

After entering the search information, select the magnifying-glass icon at the right-hand side of the search box.

Example searches

invoice 12345

customer@example.com

renewal confirmation

Using a distinctive word, reference number or email address will normally produce more accurate results than using a common word.

Step 6 — Use Advanced Search

For a more detailed search, select the Advanced Search icon near the far-right side of the search box.

The icon is highlighted by the red arrow in the screenshot above.

Advanced Search can help narrow down results using criteria such as:

Barracuda describes Advanced Search as the facility for creating more complex searches than the standard keyword search.

Example

You could search for:

Combining these details can make it much easier to locate a specific message in a large archive.

Step 7 — Save a Search

Where you regularly perform the same search, you can save it for future use.

After entering the required search criteria, select Save search.

Give the search a clear name, such as:

Saved searches can then be opened from the Saved searches tab without entering all the criteria again. Barracuda’s documentation confirms that saved Advanced Searches can be loaded and run again later.

Step 8 — Select the Required Emails

Once you have found the required email or group of emails, use the checkbox beside each message to select it.

You may be able to select:

Take care when selecting large numbers of messages, particularly where the results include sensitive or confidential information.

Step 9 — Recover or Export the Selected Messages

After selecting the required emails, open the available message-action or tools menu.

Depending on the facilities enabled for your account, the available options may include:

Export

Downloads the selected archived messages into an available export format.

Barracuda officially documents the ability to export one or more selected messages from the search results.

Forward Selected

Forwards copies of the selected archived emails to a specified mailbox.

Resend

Sends the selected archived email back to your mailbox, allowing you to work with it from Outlook.

The exact wording and availability of these options can vary depending on the version of the Barracuda interface and the permissions assigned to your account.

Step 10 — Check Your Mailbox

When using Forward selected or Resend, allow a few moments for the recovered message to arrive.

Check:

The recovered message should then be available for you to read, forward, save or work with in Outlook.

Common Problems

I cannot sign in

Confirm that you selected Sign in with Microsoft and that you are entering your current Microsoft 365 email address and password.

Try signing in to Microsoft 365 separately to confirm that the account and password are working.

Microsoft is asking me to approve the login

This is likely your organisation’s multi-factor authentication protection. Approve the request only when you have personally started the login.

I can sign in, but no archived emails appear

Your account may not yet have been synchronised with Barracuda, or you may not have permission to access the required messages.

Contact your IT support provider.

My search returns too many emails

Use Advanced Search to add more information, such as:

I cannot see the export, forward or resend option
